Company domain renewal: who owns the task and verifies completion?
A working website does not identify the renewal owner
A domain used for a company website or email needs an identifiable task owner, even if a web developer originally registered it. Start by checking whether the company knows the domain name, registrar and authorized contact. Do not wait until the website fails before searching old receipts or asking who once held the account.
Check expiration with the relevant provider
ICANN recommends tracking expiration, contact details and renewal terms with the registrar, and maintaining payment details when using automatic renewal. This article uses that guidance to organize work, without prescribing identical grace periods or recovery fees for every extension. Country-code domains in particular require checking the relevant provider and registry policies.
Separate the domain register from other services
Use one row per domain, recording its full name, provider, last-verified expiration date, primary and backup owners, and restricted document location. List domain registration, hosting and email services separately, even if a vendor combines them in one quotation. Payment for one item should not be treated as proof that every other item was renewed without verification.
Test how reminders reach the decision-maker
Have the owner check access to the notification channel and how notices reach the budget approver. In a hypothetical case, the email recipient knows the due date but the payer does not know which item needs approval. Connect receipt, approval and result-checking steps without sharing passwords or recovery codes in a group chat.
Retain payment evidence and the new status
After processing renewal, retain the payment reference and check expiration or status through a trusted provider channel. If the information has not changed, ask using the existing reference. Do not buy or transfer another domain as a workaround without an approved plan. A receipt and confirmation that the correct name was renewed for the intended period are different pieces of evidence.
Include renewal in IT operations planning
Bring the domain register, related services and unassigned responsibilities to Chawinnix for discussion within its IT and cloud service scope. Sensitive credentials are unnecessary for an initial discussion. The aim is to identify who receives notices, who approves and who confirms results. This is process planning, not a guarantee that every expired domain can be recovered.
