Bank reconciliation in accounting software: checks before closing a period

Imported data is not completed reconciliation

A business using cloud accounting may see bank transactions arriving every day, but importing data and confirming its agreement with the accounts are separate steps. Before period close, assign responsibility for checking completeness, following up differences and reviewing the result. The number of successfully imported transactions should not be the sole evidence that the bank work is complete.

Start with the correct account and period

Prepare the bank statement for the account and period being reviewed, with the currency and data cut-off clearly identified. Xero's explanation of period reconciliation describes comparing statement information with system records and investigating differences. Its developer article discusses features in certain markets, so use the principle rather than assuming that software or a subscription used in Thailand has the same menu.

Look for data gaps before matching

Record when information arrived through a bank connection or file import and the dates it covers. If a connection was disconnected and re-established, check the boundary period against bank records. For example, a manual import may overlap dates already retrieved by the connection. Isolate suspected entries for source checking before deleting or changing data. An empty date on screen does not necessarily establish that no transaction occurred.

Equal amounts still require transaction checks

When matching, consider dates, counterparties, references and supporting records alongside the amount. Two customers might transfer the same amount, or one receipt might cover several invoices. The accounting owner should verify the actual relationship rather than automatically approving every system suggestion. Refunds, fees and recording-time differences need explanations and evidence. Do not create adjustments merely to force the difference to zero.

Give unresolved items an owner and an evidence trail

Keep a short register of unresolved items with dates, amounts, reasons for uncertainty, responsible people and outstanding documents. Store detailed information in an access-restricted location. If an entry needs correction, the accounting owner should determine the recording method and retain the reason so a reviewer can trace it. A single balance sent in a chat does not reveal which transactions still await answers.

Close the review with the actual report retained

After the responsible reviewer has checked the work, retain the result, reviewed period, export time and any items requiring follow-up. Define how late-arriving information will be handled. Chawinnix offers ERP and Cloud Accounting systems. Businesses planning reconciliation workflows can discuss a process map and sensitive-data-redacted examples through the company's channels to assess configuration for their actual system. Installing software does not replace all of the accountant's checks.
